Supply “pick-listsare similar to the user-defined preference card templates,
except that supply items are sorted according to the location where they are stored
rather than supply category. The supply pick-list is available as a printable report or as
an electronically editable form.
Features of the supply pick-list system include:
- Case-based preference (pick-list) cards
- User-defined supply categories
- Relational tables (supplies, equipment, implants, medications, staff, etc.)
- Modified using the "exception" method
- Real-time capture (in the OR during surgery)
- Barcode update of tables as well as capture and edit of case-specific cards
- Ability to link supply "pick-lists" to cards
- Designed specific to surgeon, procedures, or combinations (surgeon groups,
specialties, procedure groups, classifications, etc.)
Pictured below is an example of the supply
pick-list as a printable report.
The pick-list as a printable report can be personalized for each user,
can be used pre-operatively to build supply case carts,
and again postoperatively to record quantities returned, resulting in the automatic
reconciliation of quantities used.
Barcode scanning can be used for
real time or postoperative reconciliation of case-specific cards.
For real time reconciliation a preference card template is loaded during the case and
modified using the "exception" method, resulting in a case-specific record of supply items
used during the case.
For postoperative reconciliation all cases for a schedule date are retrieved, and then
supply requisition (pick-list) reports may be printed for manually building and/or editing
case carts, or supply requisition forms may be downloaded into a tablet computer for
electronically building and/or editing case carts.
Building and Reconciling Case Carts

Tablet-optimized forms, like pictured below,
can also be used preoperatively to build case carts and post-operatively to reconcile
supply quantities used during the case. Data columns can include:
- Storage Location
- Quantities (preference card, pick-list, not used, and used)
- Item Description
- Item Code
- Item Category
Pictured below is an example of a
tablet-optimized form used preoperatively to build
case carts and post-operatively to reconcile case carts.
Intra-Operative Reconciliation of Supply Items
Used In addition to the two methods described above,
it's also possible to reconcile supply items used during the case intraoperatively, using
the exception method based on pre-defined case-specific preference cards. Of course the major
advantage of this is the ability to update suse of supply quantities and case costing data in
realtime.
Pictured below is an example of a form
used intraoperatively to reconcile supply
items used during a case.
